Task Prototype Quick Guide

Note: All the fields described below are discussed in more detail in Task Prototypes Screen.
  1. Add a record.
    From File Maintenance > Setup - Orders > Task Prototypes > Add, a task for every service your clinic provides, whether or not it is billable – if someone needs to do it, make it a task.
  2. Identify the task.
    1. Create an ID that is logical and easy to remember.
    2. Type a Description. Include keywords that help searches, such as x-ray, visit.
    3. Spell the description correctly; it will appear on reports.
    4. Use a question mark where providers will enter text or numbers later.
    5. If using Tap2Chart, the template FDF name must go in the description.
  3. Complete checkboxes.
    1. Check Include on Discharge Reports for customers to see the activity.
    2. Check Exclude from CWA and Flowsheet for non-medical tasks.
    3. Check Print from Form Print to make the PDF attached to the task print from the Form Print button on Appointment Register. Use for forms to be completed on paper as opposed to electronically.
    4. Check Show PDF in iSYSTOC if you want the flattened PDF attached to this order to be available via iSYSTOC version 4.2 and above.
    5. Check Send to Document Interface if you want the flattened PDF attached to this order to go to the HL7 document interface.
  4. Set Skip fields.
    1. Skip Data Entry if data entry will be via PDF form, see Form-based Versus Screen-based Data Entry. If a module exists in SYSTOC for storing the data, specify a Section, even if you Skip Data Entry.
    2. Skip Print Report if another task will do the report, or for batch printing. If not skipping, specify the report to print.
    3. Skip Charge Entry if this is not a billable item, otherwise specify a Fee Code. If the exact fee code is unknown, leave blank, or consider creating a more specific task.
  5. Add the PDF form.
    1. Use lookup to pick an appropriate PDF.
    2. Preview selected form by clicking the pencil.
  6. Set Recall letter.
    For repeated events (hepatitis, HIV, etc.) pick a Recall Letter F3 Form ID, see Quick Guide to Recall Letters.
  7. Complete bottom of screen if applicable.
    1. Injury Discharge Instructions memo can be used for tasks such as Crutch Instructions.
    2. For medications, optionally include Dosage Instructions.
    3. For lab tests, optionally set Normal Values.
  8. Save.
    Save the record to gain access to Work Flow and Group sections.
  9. Place in groups.
    1. Add task to groups and subgroups where providers will likely look for them.
    2. Tasks can be in multiple groups/subgroups.
  10. Assign work flow sequences.
    1. Optional, but recommended. See Setting Up Work Flow Sequences.
