Form-Based vs. Screen-Based Data Entry

There are two approaches to data entry with SYSTOC: forms (PDF) or SYSTOC screens. The following table shows some of the differences between these methods.

Some necessary data entry, such as state forms, can only be done via PDFs. Other data entry, such as health risk assessment, can only be done by data entry screen. When creating task prototypes, you need to decide which method to use. If both methods are available (i.e., both a data entry screen and a PDF exist for the activity), base your choice on the preference of the staff responsible for the activity.

PDF-Based Data Entry Screen-Based Data Entry

Launched by clicking the F column of any order.

Accessed from the menu choices in the Options View or from the Data/Print button on the orders or appointments screens.

Looks and acts like a piece of paper, and can be signed.

Looks and acts like typical computer screen, and cannot be signed.

Lines tend to be spread out, requiring more scrolling to see all the data.

Tends to be compact, with lines closer together, easier to see all the data at once.

Can look at only one page at a time.

Can see list of previous activity, as well as current activity.

Some fields exist only on the form and are not saved in SYSTOC's database.

Every field is saved in SYSTOC.

Can print the PDF at any time.

Reports usually are a separate step, but may provide multiple visits for comparative purposes.
