Regularly Print Appropriate Recall Reports and Mail to Patients or Employers

  1. From the appropriate module in SYSTOC, press F2 or click the Reports List tab. Recall reports are available from all the Screening modules, the Recall screen, and the Company screen.
  2. Choose which type of report you want to print. The Recall Letter is sent to the company to give them a list of employees due for tests or services such as immunizations, audiograms, PFTs or drug testing. The Recall Letter to Patient is addressed to the patient to remind him or her of an event.
  3. Click on Prepare Report to Run.
  4. There will be differences on specifications depending on what report you want to run, but all the reports will require the beginning and end dates of the recall. Dates can be entered in MM/DD/YY format or in single digits. Typically these reports are run on a schedule (once a week, once every other week, once a month, for example). The Begin Date should be at least a week in the future, because you want to allow some time for the letters to reach the recipient. Do not use an asterisk (*) in the date fields.
  5. Complete the other Specification Values needed to run the desired recall. Some fields may be left blank, but use an asterisk to generate all data pertaining to that field. When filling in a specification field, make sure that there are no blank spaces before the value entered because SYSTOC looks for an exact match in the database.   6. Click the Run Report button and a preview of the report is displayed. If there is more than one letter, a list of the letters will be shown on the left side of the screen under a Preview tab.
  7. Print the letters or list by clicking on the printer icon.
