Step 3: Using the Import Engine to Load Data

The LaunchSystocImporter.exe is installed with SYSTOC, but generally it is enabled (licensed) only for the clinic superuser during initial setup. If the import tool needs to be licensed for an additional user, contact UL EHS Sustainability Customer Support via email at SYSTOCSupport@ul.com or by phone at 844.881.8713.

  1. Double-click SYSTOC.exe to open the program. Select SystocImporter from the menu and click OK.

  2. On the SystocImporter launch screen, select Excel from the drop-down menu for the Type field.
  3. Select TB_BULK_xls from the drop-down menu for the Import Name field.
  4. Use the Import File function on the left side of the screen to browse to the Excel file containing your TB data.
  5. When you select the folder containing the file, a list of .xls files whose names begin with “TBT” display in the window on the right. Click to select the file you want to import.
  6. When you select a file, the words “Ready to Import” display in the Import Message field near the bottom of the window. Click Import File to initiate the import process.
  7. When the data import is complete, a log displays on the screen. Review the log carefully. If any errors are reported, follow the steps below to correct the data and import the amended records.
    Note: It is important to correct and re-import only those records that contain an error according to the log. Re-importing the entire spreadsheet will result in duplicate Tuberculosis records in SYSTOC.
    1. Create an Excel spreadsheet that contains only corrected data. You can do this by deleting the records that did not contain errors from the current spreadsheet or by creating a new spreadsheet into which you copy the problem records.
    2. Make appropriate corrections to the data in the new/revised spreadsheet based on the information reported in the log. Save the file with a new name to make it easy to identify.
    3. Repeat the steps in this section to import the records in the revised spreadsheet.
  8. When you are satisfied that the import process has successfully completed, check to see that the data that you imported shows up in SYSTOC as new Tuberculosis records and verify that you have no duplicate records.
  9. Review the new records and, if necessary, add missing or additional information.
