Create Appointment from Register Screen

  1. Select Add (Ctrl+A). Specify the Staff ID (person for whom appointment exists).
  2. Complete the Patient ID field. Begin by using that field’s Lookup (F5) to search for a patient record.
    1. If a record exists, select it and verify data that appear in adjacent box. If incorrect, edit the displayed patient’s record by placing cursor in Patient ID field, pressing Ctrl+J, and making necessary changes on the summary screen.
    2. If a record doesn’t exist, select Add from the Lookup window, enter patient info on summary screen (clicking the Gen ID button to create an ID, if needed), save, and close.
    3. If the Patient ID is to be a SSN and a temporary ID is needed, type #, T or @ in the Patient ID field and then press the Tab key.
    4. If appointment is for multiple patients, enter NS in the Patient ID field. When making NS appointments or using temporary IDs, patient information will not appear automatically in the adjacent text box; type relevant information.
  3. Status is A for appointment unless patient arrived without an appointment, in which case status will be T and Walk-In should be checked.
  4. Enter Code (F5 to lookup) to describe purpose of visit. Specialized buttons for Inj/Ill Visit or Rehab may appear, depending on code.
  5. If not a screening visit, type or Lookup (F5) correct Injury/Illness ID (skip this step if using a Temporary ID – you must add the injury when the actual patient ID is known). If a new injury/illness, create a new injury record and at least complete the first two lines of the Injury screen.
  6. If this is a workers’ comp visit, the Resp Co ID (Responsible Company) fills in automatically with the current employer’s ID, which will be correct for most situations. If it is a screening visit, enter the ID of the company that requested the screening. If the visit is personal, not requested by any employer, leave the field blank.
  7. Click on Schedule (Alt+U) to go to the schedule grid to pick a suitable time slot. The cursor changes to a stopwatch. Single click, then double-click on the practitioner/date/time slot that you want. You then return automatically to the register screen. Check that the Staff ID, Date, and Time are what you expect. (If more time is needed for the appointment, correct the Duration back on the register screen.)
  8. If the Location ID field is required it must be completed.
  9. Save (Ctrl+S); if there is an Inj ID, the program asks for a Treatment Description. The default for the Code you used displays in the box; change if desired (press Enter). A treatment record to match this appointment is created automatically.
  10. Select the Procedure(s) to use for this visit. The procedures for the responsible company are displayed on top, with generic procedures below. To search, use the right arrow key to move the cursor to the Procedure ID column, then type the first few letters of the procedure you want. To select, click on the small box, double-click, or press the spacebar. All tasks in each selected procedure appear on the right. Any individual task can be removed by unchecking its box. Click the Accept Orders button (Alt+A) to finish.
