Medical Staff

The Medical Staff screen stores basic data on clinic staff and health practitioners to whom you make referrals. The ID is typically the first eight characters of the person’s last name.

  • For Drug Screening, at least one person in the Staff section must be designated an MRO.
  • You must have a Staff record for each person whose schedule is in the Appointments module.
  • The Staff ID for any person who is also a SYSTOC user must be identical to the User ID for logging into SYSTOC (Utility > Security > User Information).

Label Description

ID

Unique ID code, perhaps the first eight letters of the last name. If person is also a SYSTOC user, must match the User ID used for logging in to SYSTOC.

Staff/Consult/Ref/etc.

A one character code to indicate the type of person. Be sure to use S for staff, as some lists are filtered by this designation.

MRO

Select the checkbox if this person is a Medical Review Officer for drug screening.

BAT

Select the checkbox if this person is a Breath Alcohol Technician.

PPO Member

Select the checkbox if the person is a member of a Preferred Provider Organization.

Active Staff

Indicates the status. When the box is checked, the status is Active. On an add record, this is checked by default. This is especially useful when excluding inactive records in search lists and reports. The search defaults to show active only records.

Name

Staff person's last name, first name, middle initial, suffix (for example, Jr., III, Esq.).

Note: The maiden name field is used in SYSTOC_EDI to include hyphenated last names on EDI claims. Add the first part of the hyphenated name to Maiden. When claims are processed in EDI, a hyphen is added to the end of the maiden name, followed by the name in Last.

Degree

Medical degree.

Registration

Medical registration number.

Reg. State

The state in which a staff person is registered to practice medicine.

Address

Staff person's address.

Specialty

Primary area of the person's practice.

Taxonomy

Primary specialty code, required by some vendors.

Contact

A contact person's name.

Affiliations

Billing Provider

Staff ID of the supervisor if this person is not acceptable as a provider of service on a 1500 Claim Form invoice.

Tip:
  • You can elect to invoice with the name of the Primary Physician from the Injury, not the Staff ID on the Treatment (or Inj/Ill Visit). Go to Utility > Program Preferences and select the Only use the Injury Provider for Billing Jump checkbox.
License Numbers:

DEA

Drug Enforcement Agency number (required for prescriptions).

Expiration Dates

Expiration dates for various licenses and credentials.

WC

Workers' compensation identification number.

Medicare

Medicare license number.

Medicaid

Medicaid license number.

DOT

ID assigned by the Federal Motor Carrier Safety Administration's (FMCSA) and indicates that this provider is certified under Section 391.41 of the Federal Motor Carrier Safety Regulations (FMCSR) and listed on the National Registry of Certified Medical Examiners (NRCME).

Credentialed

Date this person was credentialed.

FEIN

Federal Employer Identification Number.

UPIN

Unique Physician Identification Number (for UB Claim Form).

NPI

National Provider Identifier, a HIPAA-required ten-digit identifier for all healthcare providers. It is used for electronic claims and other standard healthcare transactions.
