Using the Schedule Grid

There are several ways to access the schedule grid. When you first start SYSTOC, the grid normally loads from the Appointments menu choice. As you work, however, you will regularly switch between the Appointments Register screen and the schedule grid. You can get to the grid quickly with any of these methods:

  • From the Appointments Register screen, click on the button labeled Schedule, (or press Alt+U). This takes you to the spot int the schedule where you last worked in this session.
  • From the Appointments Register screen, click on the Find Appt in Schedule button (or press Alt+N). This takes you to the schedule view of the appointment that is displayed on the register.
  • The Alt +N key combination takes you back to the register screen from the grid and is effectively a toggle between the two screens.

The lower portion of the display lists the time (24-hour) vertically on the left. Next to the time column are corresponding horizontal slots where information pertaining to an appointment appears. Note that you cannot type in the time slots. The text in the individual time slots is carried over automatically from the registration screen, and displays the appointment code followed by the patient name or appointment text (for a non-clinical appointment).

In Daily and Weekly views, the increments of the time column default to the Time Increment specified on the Scheduling Staff screen (located under File Maintenance > Setup - Appointments) for the currently selected individual. In Group view, the increments default to the smallest setting specified for any group member.

You can change the interval, using the Increment field at the top of the screen. As you increase the interval, appointments that used to show up individually may now be combined into one time slot. Changing the time increment on the schedule grid screen is temporary and does not change the default increment. The normal work hours are represented with a different color than the non-work hours.

To move among the time slots you must use the mouse. When a time slot is in the highlight color (dark blue if you are using the Windows defaults), it indicates the selection of that time slot for data entry purposes. To add or edit an appointment from the grid, simply single click on a time slot to select it, then double-click to go to the Appointment Register screen or right click and select from the menu that displays. To select a time slot without selecting an appointment that may already be in it, click in the small portion of the grid that is visible along the right edge of the occupied slot.
