Recalls

A Recall can be either for an actual appointment or to indicate an intent to create an appointment. The Recall module can also be used to create generic reminders for staff to perform some task.

The Recall Letter and Recall Letter to Patient reports provide a convenient method of notifying companies or patients about upcoming appointments. The template for each type of recall letter is created as a memo on a text form, using a Form Type of RECALL. When creating the task prototypes for the planned activities, the Form ID for the template letter is entered in the Recall Letter Form ID field of the Task Prototype screen. For an example, see the HEPB2 task prototype in the training data that are included with SYSTOC. The setup for Recalls is somewhat complex, and it is best to carefully follow the steps in the Quick Guide to Recall Letters until you are comfortable with the process.

To use Recall module to create generic reminders for staff, add a record and enter PHONE in the Staff ID field. Make the Recall Date the date you wish to receive the reminder. Enter the applicable Company ID and use the Description field for the purpose of the reminder; for example, Call re:light duty placement. When you print the Recall Phone Calls report for the pseudo-ID called PHONE, this reminder will appear on it. You can also create recalls for specific staff by entering their actual Staff ID.

Label Description
Patient ID The patient's unique identifier.
Location ID Responsible remote location, if applicable.
Recall Date Date patient is due for another event.
Time Time of appointment (optional). If filled, the recall is for an actual appointment. If blank, there is no appointment yet. If entering a time, be sure to go to the Appointments module and create the appointment.
Section Indicates the module where the data gathered by this future activity will be stored. Fills automatically based on the section of SYSTOC that was most recently used; change if desired.
Task ID Enter the appropriate Task Prototype ID to indicate the planned activity.
Staff ID ID of medical staff person who is to perform the task.
Company ID Company to notify of this recall.
Dept ID ID code for the department where the patient currently works.
Job ID Job code for the patient's current job.
Description Additional comments or reason for the recall.
