Creating Patient IDs

The Patient ID is the unique identifier required for every patient, has a maximum of nine characters, and is non-editable. You can establish your own system to create Patient IDs, or SYSTOC can create them for you when adding a patient via the Patient Summary screen.

To have Patient IDs automatically generated by SYSTOC, go to Utility > Program Preferences and turn on Auto Generate New Patient ID. Alternately, you can auto-generate a Patient ID on-the-fly by clicking the Gen ID button (Alt+G) that displays when adding a patient via the Patient Summary screen (and the Auto Generate preference has been turned off). When a Patient ID is auto-generated, it appears as a nine-digit number with a leading 9, for example, 900-00-0101. Numbers are automatically incremented as you add patients in this manner. Nine was chosen to avoid confusion with Social Security Numbers, which never use that digit as the first number.

Note: If you use imports that require a patient or employee ID, make sure that the text or Excel file uses the SYSTOC-generated ID. Using other IDs results in errors, duplicate records, or import failure, depending on the data being imported.
