Importing the Transcription File

After preparing the file, or receiving it from the transcription service and naming it appropriately, you are ready to import. The SYSTOC screen will show a different directory setting than the one illustrated. You will need to navigate to wherever the file that you want to import is stored, and select it. You may select more than one file. When ready, select the Import Files button.



When finished, the Import automatically activates a report viewer that shows you messages about your import. Check the log carefully for errors. If you find errors, then you must review the import file and correct the problems, then redo the import. It does no harm to import transcriptions more than once—if the transcription is already there, it will not be duplicated. You can print the log by clicking the printer icon on the top bar. Close the error log window by clicking the X in the upper right corner or by pressing Alt+F4. If you need to look at the log again after you have closed it, you can select the Run Log Report button and enter an appropriate Date and Time for the log you want to view. If you aren’t sure of the time, enter an earlier time than you think it was.

If you check the Archive if Successful box, the import file automatically archives if there are no errors. When the import runs with this field checked, it makes a folder called Log in the same subdirectory as the import file. The import archives the import file within this folder if there are no errors. The Go to Treatments button takes you directly to the Treatment screen, where the Search is pre-loaded to display only records updated by the import. You can view each in turn, press F3 to view the memo containing the imported transcription.
