Random Pools History

Random Pools History stores information about each randomization and provides a paperless audit trail for every run. It is a read-only screen—essentially a snapshot of a random pool.

The data displayed in the fields are either copied from Random Pools or calculated automatically by SYSTOC. You may not make any data entries, but you may add comments via the F3 memo.

SYSTOC assigns a unique ID number to each randomization and displays it in the Random ID field. The Random ID is included on Drug Test Results and Breath Alcohol screens, and provides a way to link specific test results back to a particular randomization of a pool. Random IDs are sequential across all pools, i.e., the pool that you run first will have a Random ID of 1, the pool that you run next will have an ID of 2, and so forth.

Note: If any special situation needs documenting, record it in the F3 memo for the applicable pool.

You must run the Drug & Alcohol Random Selection report to view the list of employees selected for testing by the randomization. First, verify that the desired randomization (Random ID) is being displayed; then press F2 to access the Reports List and select the report. The Drug & Alcohol Random Selection report separates selected employees from alternates. Selected employees are ordered by company ID (if part of a consortium) and then by random selection number; alternates are ordered solely by selection number. Generally, the selected employees are always tested unless unavailable. If a selected employee is not available for testing, the first available alternate in the list is used in his/her place, regardless of where that alternate is employed. You should save all printouts from this process for possible court challenges.

Note: Be sure to select the correct randomization before printing the report.
