Using the TB Bulk Loader Import

The TB Bulk Loader Import is a streamlined method for creating TB records that is especially useful when the number of new test records required is large. This is often the case when testing is focused as part of an employee health program or a workplace exposure.

There are three main steps to creating the records:
  1. Running a special SYSTOC report and exporting the data
  2. Importing the data into a specially formatted Excel spreadsheet and adding additional test information and results to the spreadsheet
  3. Importing the spreadsheet data back into SYSTOC to create new records

Running the report called TB PATIENT LIST FOR CSV EXPORT creates the list of patients to be tested and collects the demographic information that forms the foundation of the spreadsheet and ultimately the data records that are imported into SYSTOC. The data included in the report are Patient Name, Patient ID, Company ID, Department ID, Job ID, and Date Test Given. The Test Reason, Staff ID, and Location ID may be included if desired. The report selects all employees for a specified company and can be filtered by department and/or job ID.

The data in the report are subsequently exported in a special format that can be imported into an Excel spreadsheet. Once the patient information is imported to Excel, additional test information and test results can be added quickly and without the need to open, save, and close multiple individual records. When data entry is complete, the data from the spreadsheet is saved to a file that can be imported into SYSTOC via the TB Bulk Loader utility. SYSTOC creates a new TB record for each set (row) of data from the spreadsheet.

The effectiveness of creating and populating TB records by importing Excel data into SYSTOC depends on many factors, including the volume of data being handled and the user's skill with Excel.

To complete all of the steps in this process you will need the current version of SYSTOC, Microsoft Excel (any version), and a copy of the TB import template (TB_Import_Template.xls).
