Attachments in PDF Format

The first time you open a PDF file during a work session there may be a delay. Subsequent PDF files will open more quickly. You can have multiple file attachments of any type open at the same time, but each file must be opened (and closed) individually. However, you should close PDF files that are not currently in use to avoid overloading system memory and to make them available to other staff.

Some PDF attachments are data entry forms. Depending on how they were created, a data entry form field may automatically pull in data from the appropriately-linked database, reducing the amount of information that must be entered manually. Likewise, data entered into a form field may populate a SYSTOC database to which it is linked when the PDF form is saved. After data entry is complete, forms can be flattened to prevent additional changes and to compress the size of the file. Flattened forms are represented by a lock icon in the F column. For more information, see Flattening Forms.

Whether or not you use any other type of file attachments, it is likely that you will use PDF data entry forms. SYSTOC comes with a selection of standard PDF forms, and custom forms can be requested. Any hard copy form that you currently use (or would like to use) can be created in PDF format. For more detailed information about working with forms, see PDF Form Basics.
