Patient Tracker Tab

Normally appointments are entered into SYSTOC with a Status of A that is changed to T when the patient arrives. This T designation distinguishes appointments that actually occur from future appointments, no-shows and cancellations. (For additional information about Appointment Status types, see Add/Edit Appointments.) The Patient Tracker tab displays detailed appointment information based on user-defined search criteria, but only for appointments with a T status.

Search criteria can be entered in the fields at the top of this tab. The date field defaults to today's date, but can be changed as needed. Another default setting places a checkmark in the field labeled Patients that have Arrived, which limits search results to patients currently in the clinic (those with a Status of T and no Out Time). Click in that field to remove the checkmark if you want to include information about discharged patients. The default search settings, which include a blank Staff ID, display the status of all patients currently in the clinic.

Search by Staff ID and Date to check on the availability of another staff member. Include the Status field to see which patients are waiting for you, or search by Room to determine when a certain clinic location is free. Clinics with multiple facilities can use the Location ID field to limit the scope of their search to a specific location. In a multi-user clinic, the Location ID of the currently logged-in user will default. (See Appointment Tabs for additional information about these search fields.)

Patient Tracker Search Results

You can use the Lookup function to search for a Staff ID or type it directly into that field, if known. After changing the date (see Date and Time Fields for more information) you can return to the current date by double clicking in that field or pressing F8 when the field is selected. Select the Pt. Status and Room entries from drop-down menus which are accessed by clicking on the downward arrow button to the right of those fields. Click on the Search button (Alt+S) to obtain results. The information in the results grid is not editable, but double clicking on a patient record takes you to the Schedule tab showing the selected appointment, where edits can be made.

The results display in the lower portion of the tab. Several columns of the grid are not immediately visible because the tab is so narrow. Bring these columns into view by moving the scroll bar to the right with your mouse or using the right arrow key to reposition the grid.

Single clicking on an appointment cell selects it and causes the background of the entire line of data to turn dark. Once an appointment is selected, the patient name and the appointment description appear in bold print at the top of the right side of the CWA screen. Depending on which tab is open and whether or not data are available, patient information related to the selected appointment may also appear on the right.

Note: Double clicking on an appointment displays that appointment on the Schedule tab.
