SYSTOC Forms Workspace

When you open a form attached to an order it displays in a workspace that contains controls for both SYSTOC-specific operations and standard form functionality.

The area at the top of the workspace controls a form's work flow sequencing. Other functions are controlled by the buttons in the workspace toolbar. The toolbar buttons are divided into three groups. The first button in each group has a vertical dotted line along the left edge. You can move any group to a different location (within the toolbar or to the bottom of the workspace), although a moved group will return to its original location after you exit the form.

To move a group of buttons:
  1. Hover your cursor over the dotted left edge of the group you want to move until the cursor arrow turns into a cross.
  2. Depress your left mouse key and drag the group to the desired location. If you drag the group to the bottom of the workspace, it will appear as a rectangular outline while it moves.
  3. Release the mouse button. The button group will attach to the new location.

Button/Field Description
Next Seq # Work flow sequence of form when current user saves and exits. See Sequencing Work Flow.
Next Status Work flow status of form when user saves and exits. See Sequencing Work Flow.
Next Group Group that will own the form when user saves and exits. See Sequencing Work Flow.
Next Owner Staff member who will own the form when user saves and exits. See Sequencing Work Flow.
Select>> Displays selection grids to assign or change next work flow sequence #, status, group, and/or owner.
Form Status Current condition of the form-open, flattened, by whom, and when-as well as what the current user is permitted to do in the form. Upon opening, a message indicates whether the form has been saved and, if so, the date and time saved (if applicable).
Exit Closes the form and returns to SYSTOC.
Workspace toolbar buttons and page number display
Save
Saves form data to the SYSTOC Chart folder and saves write-linked fields back to corresponding SYSTOC database fields (viewable from data entry screens). See Saving Forms.
Print
Opens a setup window to choose settings and send one or more pages of the current form to a designated printer.
Flatten
Saves data and seals the record, blocking entry and/or modification of information in data entry fields. Flattening requires a Form Access level of A. Forms can be flattened more than once; see Flattening Forms for details.
Signing Tool Launches the signing tool, with options for creating, saving, importing, and/or applying signatures. User signatures can be stored and applied as needed. Patients can sign required documents in real time. See Signing a Form.
Stamp Tool
Affixes an image at a user-designated location on the form. Image files are created in other applications in .gif, .tif, .png, .jpg or .bmp format and imported via the Signing Tool. Frequently used to apply text (such as Approved, Reviewed, etc.) or a provider signature. See To Apply a Stamp to a PDF and Signing a Form.
Pencil Tool
Draws lines using a mouse or stylus. Suitable for making an X or drawing a line around an area but not suitable for writing words. This button is deselected if the Data Entry Mode or Design Mode is selected.
Data Entry Mode
Enables keyboard entry of data into form fields that accept such input. This is the workspace's standard mode, which is deselected if the Pencil Tool or Design Mode is activated.
Design Mode
Allows the user to resize, reposition, or delete signatures and text boxes. Although Design Mode also allows you to manipulate embedded fields, doing so is not recommended because such changes may irreparably damage the form. See Working in Design Mode for additional information. This button Is deselected if the Data Entry Mode or Pencil Tool is selected.
Copy Prior Data
Copies data from an existing form (chart) into the current form. All data in non-SYSTOC fields (that neither read from nor write to SYSTOC) will copy into corresponding fields in the new form; data in SYSTOC-linked fields will only copy if the applicable field in the current form is blank. Refresh SYSTOC Data
Reloads current SYSTOC data into a form with existing data. Use with caution, see Refreshing SYSTOC Data.
Form Help
Displays information about the current form, including a general description and a table that indicates the read/write/edit properties of each field, and identifies the corresponding field in SYSTOC (if one exists).
Highlight Fields
Toggle that highlights all editable fields or turns highlighting off.
Move Page Up
Reverses the order of the current page and the page before it.
Move Page Down
Reverses the order of the current page and the page following it.
Import PDF
Opens a window to select a pdf and add it after the current page. Functionality that was available in the selected pdf may not be active after import.
Delete Page
Removes the current page. A system message will ask you to confirm.
Zoom out
Decreases the magnification of the form view at preset levels.
Fit Width
Resizes the width of the current page to fit across the monitor.
Fit to Page
Resizes an entire page to fit within the workspace.
Zoom in
Increases the magnification of the form view at preset levels.
Previous Page
Displays the page that precedes current page.
Current Page/ Total Pages Indicates which page is shown and how many pages the document contains. Display only; cannot be used to move to a different page.
Next Page
Displays the page that follows the current page.
Rotate Left
Turns the current page 90 degrees to the left. If you use this button to correct the orientation of a PDF document that was improperly oriented when scanned, and you attempt to add a signature, comment, or drawn object, the image will not be properly aligned to the document.
Rotate Right
Turns the current page 90 degrees to the right. If you use this button to correct the orientation of a PDF document that was improperly oriented when scanned, and you attempt to add a signature, comment, or drawn object, the image will not be properly aligned to the document.
